THE PROCUREMENT NOTEBOOK

What to include in a construction equipment brief

A machine type is not a specification. Describe the work to be performed so offers can be compared on a common basis.

What to include in a construction equipment brief

Work and operating conditions

Specify materials, terrain, volumes and site access. A grader shapes a platform; a compactor densifies layers; a loader moves material. Describe the result you need rather than relying on a machine name.

Characteristics to compare

Define essential capacity: power, blade or drum width, mass, bucket volume and payload as relevant. Separate mandatory criteria from preferences. Performance must be confirmed in supplier documentation and considered in the intended operating conditions.

Condition and documentation

State new or used. For used equipment, request available maintenance history, declared operating hours, recent photographs and inspection terms. Specify required compliance documentation and warranty conditions to review before ordering.

Receipt and logistics constraints

Include target date, delivery location, access, unloading arrangements and receiving contacts. Manufacturing, transport and import formalities all affect the project. KTC compares offers, coordinates procurement and sets out conditions in a written proposal.
