One line per item
Provide an unambiguous description, quantity, unit and specifications. State cable length in metres, pipe diameter and length, and cement class. Avoid generic labels that require the supplier to guess what you need.
Retain site-specific constraints
A consolidated order may serve several destinations. Identify the site, receiving contact, date and relevant batch for each line. Flag priorities and staged deliveries without assuming unconfirmed stock or lead times.
Attach useful documents
A bill of quantities, drawing, equipment list or data sheet reduces ambiguity. Check document versions and units before sending. For replacements, explain compatibility requirements and which alternatives you would consider.
Compare the response, not just the total
Check every item, its characteristics, terms, quote validity and lead times. Availability is stated before commitment. Once the quote and purchase order are approved, arrange receipt and inspection with the relevant team.
